Buying a property in Mallorca is a decision made over a few months. Whether it works as an investment is decided in the years that follow — and rather less by the rent achieved than by how consistently the property is looked after. An owner investing from the UK, Germany or Switzerland is running a house they rarely see, through suppliers they never bump into by chance, in a market where summer and winter place entirely different demands on a building.

Why an investment property is managed differently from a second home

With a privately used holiday home, the measure is comfort: the house should be ready when the owner lands. With an investment property, the measure is fabric and evidence. Damage noticed too late, remedial work nobody documented, an invoice with no paperwork behind it — each costs twice: once against this year’s return, and again at resale, when a buyer examines the condition and the history of the house.

Three practical differences follow.

  • Care runs all year, not only in season. A property standing empty for six weeks between tenancies is at its most vulnerable during precisely those weeks.
  • Decisions are commercial, not personal. On a repair, what matters is what protects the fabric and what can be evidenced later — not what looks presentable fastest.
  • Everything has to be traceable. An investor needs a file, not a memory: photographs, quotations, work orders, invoices, warranty paperwork, meter readings.

The four layers of managing an investment property

1. Fabric and systems

The climate in south-west Mallorca is harder on buildings than the brochure suggests: salt-laden air in the coastal positions of El Toro, Sol de Mallorca and Port d’Andratx, strong sun on renders and timber, heavy rain events in autumn, months of drought in summer. Pool plant, air conditioning, irrigation, drainage, flat roofs and sealed joints all age faster here than inland. Regular inspections worked through the same checklist every time are the cheapest part of the whole arrangement — and the part that prevents the largest losses.

2. Costs and documentation

An investment property generates a permanent administrative stream: the community of owners, utilities, insurance, your tax adviser or gestoría, maintenance, trades. The sensible structure is a single point of contact who consolidates all of it, checks invoices against what was actually agreed before they are paid, and files everything so it can still be found years later. On non-resident tax obligations we deliberately quote no figures, rates or deadlines — your position belongs with a Spanish tax adviser who knows your circumstances.

3. Access and suppliers

Investing from a distance means having someone on the island who can open up, accompany and decide: meter readers, engineers, surveyors, trades, changeovers between tenants. What matters is controlled key custody, logged access and attended appointments — nobody should be working unobserved in a property for which you carry the liability.

4. Reporting

An owner sitting 1.500 kilometres away can only manage what they can see. A useful report shows, in a couple of minutes: condition, work carried out with photographs, open points with a recommendation, and the costs that are foreseeable over the coming months. Anything else is administration that mostly administers itself.

Long-term letting or holiday letting — what it means for the care of the house

The two routes place quite different demands on management. Holiday letting in Mallorca is only permitted with a valid licence attached to the specific property; whether a home holds such a licence, or could obtain one, depends on its location, its type and the rules in force, and should be checked before you buy. Long-term letting sits in a different legal framework with its own obligations for landlords. Both change over time — have a Spanish lawyer confirm the current position for your specific property before you build a model around it.

Either way, the building needs care whether it is let at the moment or not. SOLUXE does not present itself as a holiday-rental agency. We handle the property management — the fabric, the systems, the suppliers, the paperwork — and work alongside whoever handles the guests or the tenancy agreement.

What quietly erodes the return

Losses on island investments are rarely dramatic. They are quiet:

  • Deferred maintenance. A failed joint, a blocked drain, a hairline crack in the pool lining: each one small, until a heavy night of rain turns it into structural damage.
  • Vacancy without supervision. Damp, pests, a failed cooling circuit, a pool that has quietly emptied — in an occupied house someone notices on day one, in an empty one weeks later.
  • Emergencies with no spending authority. If nobody may act immediately up to an agreed amount, the damage waits for your reply — and grows while it waits.
  • Unchecked invoices. Without a quotation, an approved order and a technical check, an absent owner overpays steadily for years without ever seeing it.
  • A missing history. At resale, or in a warranty claim on a new build, a documented record of maintenance and defects is worth real money.
  • Policy conditions for unoccupied homes. Insurance policies often contain conditions about how a house is used and checked; the scope and wording vary by insurer and are best read before a claim rather than after one.

How to assess a manager for an investment property

Four questions separate the field quickly:

  • How often is the property inspected, and against what exactly? Ask to see the checklist, not the promise.
  • What does a real monthly or quarterly report look like? Ask for an anonymised example.
  • Who selects the suppliers and stands behind them? Are comparative quotes obtained for larger works?
  • What happens at three in the morning? Who answers, who attends, and up to what amount may they act without reaching you first?

If you also want to understand, before you buy, how a specific property performs over the holding period, that belongs in a properly built model — our real estate investment advisory team does that work alongside your lawyer and tax adviser.

Frequently asked questions

Is professional management worth it on a smaller property?

That depends far less on the purchase price than on the distance involved and the systems in the house. An apartment with no pool or garden in a well-run development needs considerably less attention than a detached villa with a pool, irrigation and air conditioning. What matters is that the scope matches the property rather than being sold as a standard package.

Does the community administrator replace having your own manager?

No. The administrador looks after the communal parts of the development. Everything behind your own front door — systems, maintenance, suppliers, keys, reporting — remains yours to organise.

What does managing an investment property cost?

The market uses several different fee models, and a sensible price depends on the size of the property, its systems, the visit frequency and the scope agreed. We deliberately quote no figures here: a reliable proposal only exists once the specific house and the scope you want are known.

Do you look after properties that are let through another agency?

Yes — with investors it is the most common arrangement. The letting runs through a specialist partner or a long-term tenancy, while we look after the property itself, in Santa Ponsa, in Calvià and across the rest of the south-west.

If you own a property in Mallorca that is meant to produce a return, and you want to know what care it actually requires, speak to us. We will look at the location, the systems and how the house is used, and propose a scope that fits the property rather than the brochure.
